I open the meeting. We examine the Orizzonte Association’s request for four free digital-literacy workshops planned for Saturdays in May. Davide, which documents are in the file?

A project summary arrived on 3 April. No detailed cost estimate or hall access plan is attached. No reservation of the space is recorded either.

So we can discuss the purpose of the workshops, but cannot complete the assessment. Do you confirm that the summary does not already contain those two items in sufficient form?

  • Davide: Confermo.

I confirm. The summary describes activities, not individual costs or how participants would reach and use the hall. I propose listing the two attachments separately.

That is appropriate. Let us request that the association send the detailed estimate and access plan by 15 April at 17:00. This is a request for additional documents, not a rejection.

I will record that the decision is deferred. When the attachments arrive, the office will acknowledge receipt and check that both are present. Should I clarify in the letter that acknowledgement does not equal approval?

Yes, that is essential. The reader must not think sending the documents automatically reserves the hall. The committee plans to review the request by 22 April, after the check.

Then I will distinguish three stages: receipt, completeness check, and assessment. Communication of the result will come only after a committee decision. For now I will not write that the workshops are authorised.

  • Lucia: Esatto.

Exactly. Use a clear formula: “The civic hall has not been reserved and the committee has not given approval at today’s meeting.”

I will include the subject, meeting date, requested documents, deadline, and next steps. I will avoid vague wording because the office and committee have different tasks.

  • Lucia: Bene.

Good. The minutes must also say that the project remains under review. If the attachments arrive, the committee will assess them; today we cannot predict the outcome.

For precision I will write that the office checks the presence of attachments, while the committee judges the application itself. A complete file can still receive a negative decision.

I confirm the deferral. Please prepare the letter on this basis and bring me the draft. Do not send wording that could be read as authorisation of the hall.

I will do so. In the minutes I will record only the request for additional documents and the deadline. The letter will use the same facts so the internal record and letter do not conflict.

First pass: who does what?

This fictional meeting transcript takes place on 8 April 2026. Listen to the full recording and track Lucia, the committee president, and Davide, its secretary. Mark the two missing attachments, the 15 April 17:00 deadline, the planned review by 22 April, and the exact decision: the application is deferred, not approved or rejected.

  • Prendiamo atto della sintesi ricevuta il tre aprile.· We note the summary received on 3 April.
  • Il preventivo dettagliato non è allegato.· The detailed cost estimate is not attached.
  • Si richiede anche il piano di accesso.· The access plan is also requested.
  • La decisione è rinviata.· The decision is deferred.

Second pass: formal process language

Listen for nominalisations (trasmissione, verifica, valutazione, comunicazione) and impersonal constructions (si richiede, si precisa). Rephrase them with active subjects. Lucia and Davide distinguish a receipt from a check, a check from evaluation, and evaluation from approval. Practise reading the formal turns aloud; there is no recorded voice yet.

  • La trasmissione spetta all’associazione.· The association is responsible for sending the documents.
  • L’ufficio effettuerà la verifica della completezza.· The office will perform the completeness check.
  • Il comitato svolgerà la valutazione nel merito.· The committee will assess the application itself.
  • La conferma di ricezione non comunica un esito favorevole.· Acknowledgement of receipt does not communicate a positive outcome.
