Impersonal and formal constructions
Make neutral requests while naming the real actor and status.
Use impersonal si and formal request forms
Impersonal si presents a general procedure without a personal subject: si richiede la trasmissione dei documenti. With a plural noun, formal passive si agrees: si richiedono due documenti. Si precisa che introduces a clarification; si comunica che introduces an official message. Occorre + infinitive states a necessary action. È necessario che + subjunctive states what must happen: è necessario che l’associazione presenti i documenti. Formal register is not permission to omit who must act.
- Si richiede la trasmissione del preventivo dettagliato.· Submission of the detailed cost estimate is requested.
- Si richiedono due documenti entro il quindici aprile.· Two documents are requested by 15 April.
- Occorre allegare il piano di accesso.· The access plan must be attached.
- È necessario che l’associazione presenti entrambi i documenti.· The association must submit both documents.
Control distance and avoid false approval
A professional letter can address a group as Spettabile Associazione and use “si invita l’associazione a...” or “Vi chiediamo di...”. Keep one consistent addressee. Avoid vague phrases such as “si farà” when the office or committee has a distinct responsibility. For this fictional case, say that the office will confirm receipt and check completeness, while the committee plans to review the application by 22 April. “Si comunica l’approvazione” would be false: the committee has not approved the room.
- Si invita l’associazione a inviare i due documenti entro le diciassette.· The association is invited to send the two documents by 17:00.
- L’ufficio confermerà la ricezione e verificherà la completezza.· The office will acknowledge receipt and check completeness.
- Il comitato esaminerà la richiesta solo dopo la verifica.· The committee will examine the request only after the check.
- Si precisa che la sala non è stata riservata.· It is clarified that the hall has not been reserved.
